Minutes from our December 8 Parents Meeting

Tom Tanner started the meeting and participants introduced themselves.

The purpose of tonight’s meeting is to discuss and finalize a fundraising plan. A handout was distributed as the basis of discussion. Our program has a budget of $24,000 to cover equipment, clothing for players, coaching fees, tournament fees etc. We plan to cover through a combination of dues and fundraisers.

The first topic concerned having a Program Book. Several people suggested that they’d like to have the program book, especially senior parents. Ad sales were down last year and Cheri Jacobsen is not available to create it this year. The suggestion was to still have the program as a lesser fundraiser. Kathy McNamara has expressed had expressed an interest in working on this. Tom Mignogna will reach out to Kathy to discuss more about how to produce it.

Potential Fundraisers:

Donation of $500 from Beneficial Bank has already been earned through Chris Jacobsen’s efforts

Donation of $750 from the Verizon Foundation Volunteer Grant program will be realized by end of year and paid by February.

Panera fundraiser was held on 11/12 and raised $325. This fell $175 short of the target. This was an easy fundraiser to schedule and the team makes 20% of sales. ACTION: Carol will look to schedule another Panera night in late January/early February – on a night to follow a conditioning practice.

Players Dues – Plan is to raise dues to $400 - $200 due in January and $200 due in March at the beginning of the season. We will have a discount card program (similar to football program.) The discount cards provide the bearer with discounts at local businesses and would cost $10. Denise R can share the list of vendors who participated on the football card as well as the name of the printer they worked with. Each player would be given 20 and if they sold them, could offset half of their dues. ACTION: Donna Mignogna and Carol Sautner agreed to work with the information from Denise to get the cards ready for a February/March launch.

Trivia Night: In the past the team has run a Social fundraiser. The idea was raised to change this to a Trivia Night. The team would make money through the sale of tickets – approx. $40 a person including catered meal. This would allow us to invite friends and families to participate on the Trivia teams. There will be raffles and silent auctions as well. The target is to raise $1,750. The event would be targeted for March. Denise R has all the information for how to run this. ACTION: We are looking for 4 cochairs (one from each grade) to plan the event. Jen Schmidt has offered to help as a 9th grade rep and Lisa Henze has offered to help as a 12th grade rep. Tom M has offered to put together a donation letter that people can use to solicit raffle items.

Pasta Dinner: This is an annual event targeted for the beginning of the season. Jean Gallagher has planned this in the past and could provide guidance to the co-chairs. This would normally be planned for March on an evening during the first week of practice. Chris Jacobsen can help solicit lacrosse themed raffle items. Target is to raise $500. ACTION: Identify 2-3 cochairs – we will need more helpers later to help set-up, serve, clean-up, etc.

Beans Car Test Drive Fundraiser: Fred Beans does a test drive program where they pay $15 for everyone who test drives on of their cars. The idea is to do this at South in conjunction with one of our Lacrosse games. ACTION: Tom M knows Fred and will reach out to plan this . Target it to raise $1000.

Chickie and Pete’s Fundraiser: Deanine Lautt has offered to coordinate a Spirit Night at Chickie and Pete’s. The team makes a percentage of sales. This was successful last year and the target is to raise $750. ACTION: Coordinate an event in the January timeframe.

Food Sales at games: The team will have about 9 home games where we can sell refreshments. In the past we have sold items like pretzels, chips, candy, drinks. Rick Maag has a connection with Sabretts and may be able to get donated hotdogs. Carol got information from Chick Fila – they would provide sandwiches and nuggets which we could sell and make $1 an item sold. Rick Maag and the Pendletons will work to coordinate this program. Target to raise is $750. ACTION: Mike Sharman will get the schedule with locations of games so coordinators can make a plan. We will need parent volunteers to sell food at games.

Chipotle Fundraiser: This Spirit Night fundraiser was conducted last year – Chipotle pays 50% of sales for the evening. Carol has applied for a fundraiser on 2/25 (they require 12 week lead time – we are waiting for confirmation on the date.) Target to raise is $750.

Wawa sandwich cards: This is a fundraiser that we have done before. We sell hoagie coupons for $4 each – we keep $1 per sandwich. Tom has a limited supply of cards that are available immediately. Target is to raise $200. ACTION: Kathy P and Tom M will order more(it takes up to 6 weeks to get the cards) and Rob S offered to help coordinate sales.

Other Actions discussed:

John Joyce volunteered to be the Social Media/Communications chair. He will work on setting up social media to communicate about the team’s success. There was also discussion about getting information about games out through the school and even posting roadside signs on the day of games.

Kerry Vogt offered to create team cards to distribute to families that would have player information.

We are going to solicit 2 grade level reps to help rally the team. These individuals will help get the word out to their grade about events as well as solicit volunteer for various activities.

We need to get our events approved through the main office at South. ACTION: Carol will contact the main office to get the forms and will coordinate getting them turned in as our events take shape.

Our next parent meeting is on January 12. All parents should plan to attend and chairs should be prepared to give updates on their respective projects. ACTION: Mike S to reserve the Forum for that night as D204 would not be big enough

A late August/early September picnic for families to meet

Chipotle fundraiser in late December/early January to allow for alumni home from college to visit .

Applebee’s Pancake Fundraiser with Santa in December (need to book 8-10 months in advance – Carol to check on this via the internet)

Perkins Pie Fundraiser – John Joyce has experience with this from another organization. Begin selling October 1 and pies are delivered for Thanksgiving. We make 50%
